Shopify order history helps support agents establish what was purchased, which order a question concerns, and what needs checking next. Use it after following your identity-verification process, and distinguish viewing an order from being authorised to change it.

This guide explains the operating method. In Outlined, the Shopify integration is read-only: use the appropriate authorised Shopify workflow for refunds, cancellations, fulfilment changes, and other order actions.

Start with the customer's actual task

A delivery question may concern one of several orders. A product question may be pre-purchase and need no order lookup at all. Ask only for the information necessary to identify the relevant task and record.

Do not request passwords or full payment-card details in a support conversation. Avoid exposing the existence of another person's order while trying to find a match. Follow your company's approved verification procedure rather than improvising one based on a familiar name.

Use a context checklist

ContextWhy it helpsWhat still needs checking
Relevant orderEstablishes which transaction is being discussedIdentity and correct order match
Purchased items and variantsClarifies what the customer received or expectedWhether a different item is actually affected
Order and fulfilment stateGuides the investigationFreshness and meaning of each status
Previous conversationsAvoids repeating approved checksWhether earlier promises remain valid
Customer historyShows relationship context where availableAccess, completeness, and relevance

A status is evidence from a system at a particular time. It may not describe what is physically happening now. If a displayed delivery or fulfilment detail conflicts with the customer's account, investigate rather than using the screen to dismiss them.

Connect the correct store

Work with the owner or authorised administrator to connect the intended store through the current setup flow. In Outlined, Shopify connections live in Settings under the Shopify integration. Required read capabilities cover customers, orders, and products; available data still depends on granted access and Shopify's rules.

For third-party connection permissions, Shopify's access-scope reference explains how access is scoped. Confirm requirements for your actual connection rather than granting extra write access “just in case.”

Use an approved test customer and order to check matching and visibility. Verify with an ordinary team member as well as the owner. A successful administrator connection does not prove every agent has the right access.

Resolve identity ambiguity carefully

An Instagram handle may not match the email used at checkout. Two customers may share a name. A family member may ask about an order placed by someone else. Treat these as verification situations, not automatic merge opportunities.

Keep uncertain matches separate until evidence is sufficient under your policy. If history is missing, check the store, permissions, identity, and data availability before concluding that the customer has never bought from you.

Keep the action boundary explicit

Consider a fictional exchange request. The agent can use order context to understand the purchase and applicable process. That does not authorise them to promise an exception, confirm stock, or state that a refund has already occurred.

Record four separate events where relevant: the customer's request, the authorised decision, the actual action in the responsible system, and the customer update. This helps another teammate continue the case without confusing a plan with a completed remedy.

Inspect freshness and missing records

If an order is absent or seems stale, check the connection health and the relevant source system through authorised access. Historical availability may be limited; do not promise that connecting a store imports its entire lifetime history.

Make incomplete history visible in your investigation notes. Reporting “no previous purchases found in the available connected data” is more accurate than declaring a person a first-time customer from an incomplete record.

Measure the workflow

Review whether agents can find the right context, avoid unnecessary repeat questions, and record the next action correctly. A small timed exercise with approved examples can reveal friction without claiming measured savings across all support work.
