Moving to Outlined: A Helpdesk Migration Planning Checklist
Plan a move to Outlined with a record inventory, verified transfer boundaries, safe pilot, channel cutover and fallback, without assuming universal history import.
Published

Moving to Outlined requires separate plans for live channel operation, historical records, team configuration, and reporting continuity. Confirm each transfer capability before scheduling cutover. A successful live connection is not proof that tickets, attachments, notes, tags, or automations will migrate.
This is a planning checklist, not a claim that Outlined includes a universal importer from every helpdesk. Treat anything not demonstrated or documented for your source system as unresolved.
Inventory what must remain usable
List accounts, customers, conversations, formal tickets, internal notes, attachments, saved replies, tags, teams, permissions, reports, and existing integrations. Separate essential operational history from material that can remain in an authorised archive.
For each item, record an owner, source format, retention requirement under your policy, and verification method. Do not export everything by default into a loosely controlled folder. Exported customer records need the same care as the original system.
Use a transfer decision sheet
| Item | Decision to establish | Acceptance check |
|---|---|---|
| Live channels | Supported connection and cutover procedure | Approved receipt and reply test |
| Conversation history | Supported retrieval/import scope or archive plan | Dates, thread structure and representative examples |
| Internal notes | Transfer support and confidentiality | Notes remain distinct from public replies |
| Attachments | Supported types, limits and links | Authorised samples open correctly |
| Tags and saved replies | Supported recreation or manual process | Meaning and approved wording preserved |
| Users and access | Invitation and permission setup | Ordinary-user allow/deny checks |
| Reporting | New definitions and baseline | Comparable units or disclosed discontinuity |
Do not fill “supported” based on an assumption. Record the evidence and the person who confirmed it.
Plan historical access explicitly
Decide which periods and records agents need to resolve active work. Confirm the actual connected-channel history available and any source-specific restrictions. Keep the old system accessible under an appropriate read-only or archive arrangement if required.
Migration services can differ by source and destination. Help Desk Migration's general checklist illustrates that transfer scope and notification behaviour require explicit planning. It does not establish support for a particular transfer into Outlined.
Rebuild the operating procedure
Map teams and responsibility before inviting everyone. Review saved replies for current facts and remove obsolete policies. Establish how the new workspace handles assignment, handoff, unresolved work, and completion.
Do not blindly reproduce every old label or report. Preserve the distinctions needed for decisions, and record changed definitions so historical comparisons remain honest.
Pilot before redirecting normal work
Choose one representative channel or team with approved test contacts. Verify receipt, reply, thread context, relevant attachments, internal notes, access, and customer/order context where applicable. Include an unresolved request and a handoff.
During the pilot, keep responsibility for live customer work unambiguous. Running two tools can create duplicate replies if both teams believe they own the same conversation. Agree which system is authoritative for each pilot account and period.
Define cutover and rollback
Name a cutover owner and a decision time. Document channel changes, the open-work handoff, customer update responsibilities, and the conditions that would pause or reverse the move.
A useful rollback trigger is concrete: required incoming messages fail to appear or authorised replies cannot be delivered in the pilot. The fallback should restore a known working process without losing track of open requests.
Do not cancel the source subscription until the owner confirms that necessary records, access, and active work remain available. Check contractual notice and renewal requirements separately.
Protect reporting continuity
Record a baseline before cutover. Mark the date when source coverage and definitions change. A rise in reported complaints after connecting more accounts may reflect better visibility rather than worsening service.
Validate counts and examples by source, not only as a single total. Missing one small but important account can be hidden inside a plausible overall figure.
Finish with an acceptance record signed off by the responsible business owner. Use the first-week team setup guide to establish everyday habits after the move, while keeping unresolved migration items explicitly owned.
