Validate AI customer insights by checking whether the system saw the right records, interpreted them faithfully, matched the right entities, and counted them appropriately for your decision. These are separate checks. A successful data pipeline does not establish that every interpretation is correct.

Use this workflow during a pilot or regular quality review. The worksheet is an editorial method, not a claim of a measured accuracy score for Outlined or any competitor.

Define the intended use

A directional weekly theme review can tolerate a different level of uncertainty from an individual customer remedy or a major purchasing decision. Write down the action the output might trigger and the cost of a false conclusion.

Choose what “good enough” means before looking at results. Set requirements for evidence, acceptable uncertainty, and the human review needed for consequential actions. Avoid selecting a threshold after seeing a convenient score.

Build an authorised review sample

Include different channels, issue types, products, lengths, and languages your reviewers can assess. Add edge cases: withdrawn requests, multiple products, agent suggestions, repeated follow-ups, and missing context.

Keep a broad sample separate from a deliberately difficult challenge set. Combining them without explanation can make a failure rate look representative when the sample was intentionally enriched with hard examples.

Use approved test or properly authorised records. Do not export identifiable customer content into an unapproved analysis tool.

Review four layers

LayerReview questionExample failure
CoverageWere the expected records included?A mailbox was disconnected
InterpretationDoes the output reflect the customer's meaning?A withdrawn request remains current interest
Entity matchingIs the product or person association supported?A vague image is assigned to the wrong variant
AggregationDoes the counting rule fit the decision?Repeated messages become several independent requests

Record source reference, expected interpretation, observed output, error type, and practical impact. Keep uncertainty explicit when reviewers cannot establish a clear answer.

Calibrate human judgement

Ask two authorised reviewers to assess a subset independently. Resolve disagreements about the category definitions before treating either review as a reliable reference. Some exchanges genuinely contain mixed sentiment or ambiguous product references.

If your codebook changes, record the effective version. Otherwise a model can appear to improve simply because reviewers changed what counts as correct.

For technical context, research on aspect-based ecommerce sentiment treats sentiment at a more specific subject level than one overall mood label. Your own operational definitions and sample still determine what the review establishes.

Report quality with the right scope

In a fictional sample, 30 of 40 reviewed outputs meet the agreed interpretation rule. That is 75% agreement on the reviewed outputs under that rule. It is not automatically accuracy across the whole customer base, and it says nothing about missing messages unless coverage was reviewed separately.

If you use precision and recall, define the positive condition and reference set. Precision asks how many detected cases were correct. Recall asks how many reference positives were detected. A sample consisting only of detected cases cannot establish missed-positive recall.

For a small operational pilot, a transparent error register may be more useful than a single headline percentage.

Decide what to fix

Missing records require collection or connection investigation. Wrong product matches require better evidence or matching review. Incorrect intent requires classification work. Misleading totals require changed definitions or aggregation.

Keep those remedies separate. Rewording a prompt cannot restore a disconnected account. Adding more messages cannot fix a report that counts one customer's follow-ups as several customers.

Recheck after meaningful changes

Retain a stable, authorised set for regression review and add fresh examples for new channels or product patterns. Track the model/configuration and definition versions where available. Review the effect on the decision, not only the label.

Use the analytics buying script to compare vendors, and the Data Query guide to inspect internal natural-language results responsibly. Human judgement remains part of the operating process.
